A client letter can be correct and still feel unlike you. AI makes it easy to produce a polished first draft, but generic warmth, inflated promises or an unfamiliar formality can undermine a relationship you have built over years. For a Swiss freelancer or small firm, the useful goal is not to let a model impersonate you. It is to make routine writing quicker while keeping your judgement, facts and voice in charge.

This is a different problem from translation. Whether you write in German, French, Italian or English, the client should still recognise the same business behind the words. Start by teaching the tool how you communicate, then keep a human review before anything is sent.

Why AI drafts can sound generic

A model has no reliable access to your personality. If you ask it to “write a friendly reply”, it reaches for familiar phrases: “I hope this email finds you well”, “delighted to assist”, or a level of enthusiasm you would never use. The result may be grammatically smooth but wrong for a small Swiss practice where clients value clarity, restraint and dependable follow-through.

It can also change the meaning while improving the rhythm. A tentative estimate can become a firm commitment; a request for documents can turn into an implied approval. Voice is not just adjectives. It includes what you promise, how directly you speak and where you draw a boundary.

Make a one-page voice guide

Do not begin with a long prompt or a marketing persona. Collect three to five short messages you wrote yourself: perhaps an appointment confirmation, a response to a common question and a polite refusal. Remove names, contact details, case information and anything confidential. Then describe the patterns you want the assistant to follow:

  • Formality: Do you use “Sie” or “du”? How do you greet a familiar client versus a new contact?
  • Length: Do you prefer a direct answer in one paragraph, or a short explanation with bullets?
  • Tone: Are you warm and conversational, or precise and reserved? List words you would and would not use.
  • Boundaries: Never invent facts, deadlines, prices or commitments; mark missing information with a question.

Use examples as guidance, not as a template to copy blindly. A model can imitate surface features, but only you can decide what feels authentic.

A review-first drafting workflow

  1. Give it the context. Provide the client’s question, the verified facts and the action you want to propose. Use placeholders for names and sensitive details unless your approved tool and settings permit the real data.
  2. Attach the voice guide. Ask for a concise draft in your usual style. Tell the model to preserve the meaning, avoid adding facts and flag anything it cannot answer from the information supplied.
  3. Check the substance first. Compare every date, amount, name and commitment against your source. Remove any promise you have not authorised. Only then edit for voice.
  4. Make the final personal adjustment. Replace stock phrases, add the specific detail that shows you understood the client, and read the message aloud. If you would not say it on a call, rewrite it.
“Use my examples to match my usual level of formality and brevity. Do not invent information or commitments. If a fact is missing, ask me instead of guessing. Draft only; do not send.”

What to measure—and what to keep human

Try the workflow on one recurring, low-risk message for two weeks. Count the minutes saved after checking and editing, not the time spent generating a draft. Note how often you correct tone, facts or an unintended promise. If review takes as long as writing from scratch, improve the examples or stop using AI for that message.

Keep sensitive matters, complaints, negotiations and professional advice under direct human control. Swiss data-protection and confidentiality duties still apply: minimise personal information, check the provider’s terms and retention settings, and do not paste client records into an unapproved consumer account. AI can help you get to a good draft sooner; the relationship, responsibility and send button remain yours.
